The real problem

Most lead loss isn’t a staffing failure. It’s a timing one.

RAYA AI is a UK-based company that onboards service businesses — construction, home services and comparable trades — onto a shared AI-powered lead response and booking platform, built and maintained by Auto Core System. Each onboarded business gets its own fully automated lead lifecycle without building or managing any of the underlying automation themselves.

A lead fills out a Facebook form at 9 PM, on a weekend, or during a busy afternoon when the team is already on a job site. By the time anyone gets to it, hours have passed, the moment is gone, and that lead has often already called a competitor.

No team, however good, can have someone sitting by the phone every hour of every day. This system removes the mismatch entirely: nobody has to be “on” for a lead to get an instant response, because the response comes from the system rather than from a person’s availability.

How it works

From Facebook form to booked site visit, without a human in the loop.

The moment a lead fills out the Facebook lead form they land in GoHighLevel and immediately receive both a WhatsApp message and a text letting them know someone will call within two minutes — replacing the anxious wait after a form submission with instant reassurance, at any hour.
The lead’s full profile is passed to n8n, which hands it to the Retell AI voice agent. That agent places the call and confirms the exact service the lead is interested in against what they entered on the form. No assistant has to make that call.
Once the service is confirmed, the agent books the site visit on the spot, live on the call. The lead receives confirmation on both SMS and WhatsApp, and the appointment lands directly on the GoHighLevel calendar.
The lead moves from New Lead into Booked the moment the appointment is confirmed, with zero manual pipeline management.
A lead who doesn’t answer moves into a “1st Attempt Failed” pipeline, and the system schedules further call attempts at different times — roughly eight in total — rather than giving up after one try.
If a lead replies on WhatsApp instead of answering the phone, the system treats that as a cue to try calling again. If they’d rather not talk at all, WhatsApp and SMS stay open as a full alternative path to getting booked.
Only once every attempt across every channel is exhausted does a lead move to nurture, with a final message letting them know the team tried to reach them. No lead is silently dropped.

Each workflow owns one part of the lead journey, all connected to a shared GoHighLevel contact and pipeline record so status is always current no matter which channel is active.

  • Lead Intake Workflow — captures the Facebook lead form submission, tags the contact, and triggers the initial WhatsApp and SMS reassurance messages.
  • Outbound Voice Agent (Retell AI) — places the call, confirms the requested service against the form data, and hands off to booking once confirmed.
  • Booking Agent — extracts structured details from the call transcript (name, contact, address, job type, budget, requested time), converts the requested time into a validated ISO 8601 slot against real calendar availability, and books via the GoHighLevel calendar API.
  • Inbound SMS & WhatsApp Agents — listen for replies, branch on lead tags and conversation state, and either continue the booking conversation or trigger a fresh call attempt.
  • Inbound Voice Agent — answers and routes calls from leads who ring back directly, keeping the phone channel as automated inbound as it is outbound.
  • Pipeline Automation — moves leads through New Lead → 1st Attempt Failed → Booked or Nurture based on call outcomes and channel replies.
